Secretary/Treasurer Committee Role

The role is home based, involves a few hours each week, and is part of our Management Committee, made up of up to 8 other Volunteers and chaired by Barbara Clarke. We meet monthly and part of the Secretary’s role is sending out the Agenda and Taking minutes. The meetings usually take only about 1 hour.

The only paid employees -job share and work a total of 25 hours per week, their main role is operational, but they also carry out financial and administration duties. We use a Cash Manager financial system, income/payments are coded and once per month financial reports are produced by them- the treasurer then presents these reports to the committee.

Requirements:

The service have a good structure in place and it is just a matter of the new person taking over.

I will remain on the Committee and happy to give full training.

Time commitment:

Secretarial

  • Minutes and Agenda for monthly meetings and AGM

  • Assist with annual update of the Health & Safety Plans etc

  • Help organise Xmas function, training nights etc and send out invites

  • Answer mail/email queries

  • Make funding applications and follow up results reports

  • Ensure Charities Commission is updated with- annual return, current management team etc

  • Liaise with Manager, Chairperson, other Committee members as required.

Treasurer

  • Overall Supervision of financial affairs of the Service

  • Oversight of all receipts/payments

  • Control bank accounts- online payments etc

  • Prepare annual budget and update during the year

  • Present written report to Monthly meetings

  • Weekly banking of cash

  • Liaise with Manager, Chairperson as required
